RESPONSIBILITIES OF DEPOT MANAGERS

In general Depot Managers should take ownership of the depot within set authority limits, and take a proactive approach to ensure that success is achieved. The following gives a non-exhaustive note on areas of responsibility.

PERFORMANCE & SALES

Meeting budget targets through achievement of required sales volume and sales margin
Ensuring proactive approach to sales, and developing depot sales in line with Board direction.
Maintaining existing customer accounts and developing new accounts, and developing relationships with customers.
Ensuring the depot holds optimal stock level and range.
Ensuring warehouse logistics are as efficient as possible.

STAFF

Managing staff, and delegating tasks, to ensure that performance targets are met.
Dealing with staff issues, motivating them, and ensuring a good and happy working environment.
Taking disciplinary action against staff where necessary : this to be done in conjunction with your line manager and a director.
Recruitment of new staff must be authorised by a director.
No authority over pay levels : any changes must be authorised by a director.

PREMISES, HEALTH AND SAFETY

Ensuring that all depot employees are operating in a clean and safe environment, which meets all Health & Safety requirements, as advised by Group Health & Safety Manager.
Ensuring that all points raised in any Health & Safety inspection are resolved within the timescale agreed with H&S Manager.
Ensuring that premises are maintained in a good state of repair, with any items of expenditure in excess of depot manager approval limits being highlighted for director approval.

STOCK MANAGEMENT AND HOUSEKEEPING

Ensuring Stock limits are not breached.
Ensuring all depot housekeeping procedures are adhered to (a full list of these tasks has been issued) and that all issues noted from these procedures are dealt with in required timescales.

DEPOT RUNNING EXPENDITURE

Authority to approve expense payments for the general running of the depot, including general running costs, premises, plant and equipment maintenance, and vehicle maintenance.
Any non-stock expenses must be approved by a director.
All capital items to be approved by a director.

CUSTOMERS AND CREDIT CONTROL

Adhere to the guidelines set out in the Credit Control Manual.
Particular attention should be paid to the sections on manager responsibility in relation to providing support for requested limits submitted to a director, resolution of disputes, and monitoring of cash accounts.

GENERAL

Responding to requests for information from directors and head office in line with requested timescales.
Ensuring information provided to directors or head office is accurate.
